Hey! I just thought I'd shoot this out there since the fly-in is really just a few weeks away! :shock: Craig and I were talking at the Kite Festival and he mentioned there were some things that we might want to jump on since it's getting so close. I figure there's a lot that we can do to make this a really bangin' time, so someone with some more time in service with this - jump in and let me (us) know what to start putting together.
..Ah! I remember now - Raffle stuff to do..
If we can get good advertisement material, we'll get the word really out too.
What's the next step??!!

a potential event coordinator forming an exploratory committee (of one), perhaps?
i have nothing to offer you, Chris, in the way formal experience, but would throw in with assistance along the way. it definitely would be good to get started - MarkC, last year, had made the point that an early start helps ensure success.
at this point though you want everyone to be alerted to the fact that

The Fly-In Is Scheduled To Occur May 14 & 15 And That People Should Put It On Their Schedulel ?

So how about some different activities to throw out there (..prizes to come):
Air:
XC of the day
Spotlanding contest ;) (hehehe)
Longest flight/ highest flight

Ground based:
Best food dish / beverage
Hottest rack (setup ;) )
umm...drawing a blank...

But other than that, there are some basics that we should get down so we can put them on flyers or advertising venues:
Time /Place(directions) / Activities / "Accommodations" / etc...
Do I hear a flyer volunteer?? Arts and crafts skills or Photoshop?
I'll be taking ideas at the Pulpit (or Woodstock) today.

One of the first things you do is have Mark C post to the webpage an edited version of this: http://www.chgpa.org/HGFest/hgfest.html

Get this up ASAP with correct dates, with some things listed as TBA.

Get on the listservers of surrounding clubs and post announcements: Hyner, Mountaineers (western MD), Mountaineers (southern VA).

As soon as you've decided the specifics at the club meeting, fill in the TBA blanks. If Mark gives you the page to edit It may be best if you DON'T use an HTML editor as it adds a bunch of garbage, but edit the HTML as a text file. It's actually really obvious so don't worry about whether you know HTML or not...just make sure you open it as a text file and it will all be clear.

Also, after the meeting, post here a list of task assignments which developed at the meeting.

It's likely too late to get raffle prizes except from local schools, though USHGA and Wills Wing may come through with prize packages if you get on it yesterday.

Somebody should have taken you in hand a little earlier, being new there's no way you could have known how this all works. Somewhere there is a list of things to do, it should have been passed on to you. Folks will pitch in to help, but you have to be the focal point.

Chris,

From the lack of responses to your requests for assistance, I get the sense that there really isn't a lot of enthusiasm for hosting the fly in at this time. Perhaps it's a little too early in the season for everyone to get fired up for it.

How about it everybody? Who is willing to commit to attend even if it's not a stellar flying day? Shall we make it a low key informal fly in without a lot of formal organization? If it's going to be any more than that Chris needs some people to make a firm commitment to being there. The 14th is less than two weeks away.

I think its safe to say that the fly-in is still on the agenda. We'll nail down most of the plans at the meeting tomorrow night...

At the very worst, the fly-in will be like the last two: last minute, ad-hoc affairs. And they were still a blast.

Too bad I have to miss it--it should still be fun, though. :mrgreen:

I'd like to make a suggestion: more cans and fewer bottles. The folks cleaning up the next day will thank you. BTW, I've gotten a killer Scotch Ale in cans from Whole Foods.

Putting a formal Fly-In together requires a minimum of three months lead-time, to solicit raffle donations, organize volunteers, promote the event, arrange entertainment, get pilots motivated, plan for an alternate date (bad weather/winds), etc.

Ditto if you want to have any hope at all of being able to make a donation to the McC Rescue Squad (ie, be in the black, rather than the red).

I hadn't heard that anyone had been (s)elected as Fly-In Coordinator this year... So this really hasn't been on my radar at all. I figured it was going to be one of those "It's flyable somewhere, so let's go and we'll call it a Fly-In" type of weekends. :roll:

I've modified the webpage at http://www.chgpa.org/HGFest/hgfest.html so that at least it mentions the correct dates for 2011. Removed all mention of Raffle donors, since we don't have any at this point... Maybe if plans solidify we'll be able to make additional updates for this year's event.

Chris, check out the Volunteer Sign-Up Sheet link in order to get an idea of what's involved to make a Fly-In happen. Then prioritize based on what you think can actually be accomplished within the limited time remaining. Tomorrow's meeting should help a lot.

With some good weather... And if there are a good number of pilots who can make it that weekend.... Then I agree with Dave B, it could be a lot of fun!

Hi All,
would the fly-in be an opportunity to be observed for my P2? Unfortunately I trained overseas and haven't gotten around to getting the rating done here, although I passed the written test a while ago. I have about 35 flights under my belt over the last 4 years, mostly mountain launches and most recently in 2009.

Peter Humes is the person you would want to discuss this with. He is our one local PG instructor. Seems like it wouldn't be ideal given the personal attention which you would need at a training hill.

Looks rainy all weekend. Any chance of postponing the Fly-In???? If so, I think we should push it back to June 18-19, the weekend after the East Coast Championships. We moved the Pulpit Fly-In to the spring partly so that the Highland Fly-In could be in September instead of June. It seems only fitting that we have the Pulpit Fly-In on the weekend that used to be for the Highland Fly-In since the Highland Fly-In is going to now be on the weekend that we used to hold the Pulpit Fly-In.

And everyone will have freshly packed chutes then.

50% chance of rain doesn't mean raining 50% of the time. I expect they will be passing thunderstorms, with rain of about 30 minutes duration. Could be wrong but that's how I read the forecast. At least the air will be unstable.

But I've got no argument with moving it to warmer camping weather.

Brian, et al: I am still seeing 70% rain in the forecast for both days, borderline wind forecast.

We will postpone the celebration to June 18-19. Feel free to show up anyways if the forecast is good for Bills.
